Cancellation & Refund Policy

Tour Package Cancellation & Refund Policy:-

At BEING XPLORER, we strive to provide transparent and customer-friendly travel services. We understand that travel plans may change due to unforeseen circumstances. Therefore, our cancellation and refund policy has been designed to ensure fairness while covering commitments made to hotels, airlines, transport providers, and other service partners. By confirming your booking with BEING XPLORER, you agree to the terms and conditions mentioned below.

   A.Domestic Tour Package Cancellation & Refund Policy:-

  1. If the tour package is cancelled 30 days or more before the departure date, a 10% cancellation charge of the total package cost will be applicable, and the remaining amount will be refunded.

  2. If the cancellation is made between 21 and 29 days before the departure date, 25% of the total package cost will be deducted as cancellation charges.

  3. If the cancellation is made between 15 and 20 days before the departure date, 50% of the total package cost will be charged as a cancellation fee.

  4. If the cancellation is made between 7 and 14 days before the departure date, 75% of the total package cost will be deducted as cancellation charges.

  5. If the cancellation is made less than 7 days before the departure date, or if the traveler fails to report for the tour (No Show), 100% of the total package cost will be charged as cancellation fees, and no refund will be provided.

2. Flight and Train Tickets:

  • Airline tickets are subject to the respective airline cancellation policy.
  • Train tickets will be refunded as per Indian Railways rules after applicable deductions.
  • Convenience fees, booking charges, and payment gateway charges are non-refundable.

3. Hotel Cancellation:

Hotels follow their own cancellation policies. Any retention or cancellation charges imposed by the hotel will be deducted from the refund amount.

4. Vehicle and Transport Services:

Cab, coach, and transport bookings are made in advance. Cancellation charges imposed by transport operators will be applicable and deducted accordingly.

5. Refund Process:

  • Approved refunds will be processed within 7–14 working days from the date of cancellation confirmation.
  • Refunds will be made through the original mode of payment or via bank transfer.
  • Processing time may vary depending on banks and payment gateways.

6. Date Change or Rescheduling:

Requests for date changes are subject to availability and supplier approval. Any additional charges due to revised rates, seasonal pricing, or supplier penalties shall be borne by the traveler.

B. Inbound Travel Policy:

  • If the tour package is cancelled 45 days or more before the arrival date, a 10% cancellation charge of the total package cost will be applicable, and the remaining amount will be refunded, subject to supplier policies.
  • If the cancellation is made between 31 and 44 days before the arrival date, 25% of the total package cost will be deducted as cancellation charges.
  • If the cancellation is made between 16 and 30 days before the arrival date, 50% of the total package cost will be charged as a cancellation fee.
  • If the cancellation is made between 8 and 15 days before the arrival date, 75% of the total package cost will be deducted as cancellation charges.
  • If the cancellation is made 7-14 days or less before the arrival date, 100% of the total package cost will be charged as cancellation fees.

2. Air Tickets:-

International and domestic air tickets are governed by the respective airline’s cancellation and refund policy. Airline cancellation penalties and fare differences will apply.

3. Safari, Permits, and Monument Tickets:-

Bookings for wildlife safaris, protected area permits, monument tickets, and special activities are generally non-refundable once confirmed, as per government or authority regulations.

4. Refund Process:-

  • Eligible refunds will be processed within 7–10 working days after receiving cancellation confirmation and supplier settlements.
  • International bank transfer charges, currency conversion differences, and transaction fees, if applicable, will be borne by the traveler.

5. Force Majeure

BEING XPLORER shall not be held liable for any cancellation, delay, itinerary change, or interruption of services caused by circumstances beyond its control, including but not limited to natural disasters, floods, earthquakes, cyclones, severe weather, political unrest, war, government restrictions, pandemics, flight cancellations, strikes, or transport disruptions.

In such cases, any refund or rescheduling will be subject to the policies and recoveries received from airlines, hotels, transport providers, and other service partners. BEING XPLORER shall not be responsible for any additional expenses or losses arising from such events.
